WhatsApp CRM for insurance advisors

VartaDesk

WhatsApp CRM for IFAs, insurance advisors and loan DSAs: applications and review meetings on the client. Income bands, never full account numbers — not core banking.

Two people working a file at a desk — chase the missing PDF; do not paste a full account number into WhatsApp.

A client messages Friday afternoon: “Which papers are left for the term cover? I missed yesterday.” The application is in a sheet. The review meeting was a no-show. The WhatsApp is the advisor’s personal phone. WhatsApp CRM for insurance advisors means the application and the review meeting sit on the same person. Cover amount and income band live here. Full account numbers do not.

This is the job for IFAs, insurance advisors and loan DSAs. It is not a core banking system, not a policy admin, not an NBFC LOS.

The boundary that must stay loud

VartaDesk’s financial services pack is an advisor desk.

  • In the desk: applications (type, stage, cover/amount on the card), review meetings (slot, outcome), life-stage and income band, risk picklist.
  • Not in the desk: full account numbers, IFSC+account pairs, complete PAN dumps in templates, core ledgers.

If a vendor demo pastes a masked account into a WhatsApp template “for convenience,” walk out. Document chase is the job. A second bank is not.

A review meeting over a tablet — the missing PDF is a CRM state; the account number is not.

What advisors actually do all week

Monday: portal leads, a CA referral, three forwarded screenshots. None of them name a product.

Tuesday: two advisors are in reviews. The remaining one is answering “premium?” with a PDF that is six months old.

Wednesday: an application is stuck in documents-pending. Nobody owns the chase. The insurer’s window is Friday.

Thursday: a review no-show. The proposal is still “shared.”

Friday 14:10: the message above. If the CRM cannot show *application, missing doc, last meeting* next to that chat, you have a chat app with extra login screens.

Document chase without spam

Approved templates, the 24-hour window, and opt-out are not decoration. Neither is India DLT if the fallback is SMS.

A workable sequence:

  1. Needs analysis complete → proposal on email, a short WhatsApp that it went.
  2. Application in → documents-pending checklist on the thread (names of forms, not account digits).
  3. Review meeting reminder. SMS if they muted WhatsApp — DLT.
  4. No-show → one recovery template, then a person. Human takeover pauses journeys.
Signing a form — issued is a pipeline stage, not a reason to store a full account number.

What to refuse in a vendor demo

  • Fields for full account numbers, card PANs, or “paste statement here.”
  • Claiming to replace the insurer portal or the bank LOS.
  • Journeys that keep firing after a human has taken the thread.
  • A second WhatsApp number per product line before assignment works.

Inbox vs the phone in the pocket: WhatsApp Business App vs WhatsApp CRM. Inbox vs conversation OS: Wati vs VartaDesk.

First 10 days in the practice

  • Connect one WABA. Keep family groups off it.
  • Install the financial services pack. Import *open* applications, not a core extract.
  • Templates: proposal sent, documents pending, meeting confirm, issued.
  • One journey: documents-pending T+2 → assign advisor. Takeover pauses it.
  • Income bands only. Train the team that a full account number in chat is a policy incident.

Walk through the advisor story or start free. The first win is the missing PDF that has an owner before Friday’s insurer window.
