WhatsApp Business App vs WhatsApp CRM

WhatsApp Business App vs WhatsApp CRM: personal handset and labels versus a shared inbox with people, pipelines and a number that does not walk out on leave.

Most teams searching WhatsApp Business App vs WhatsApp CRM already have a green tick and a catalogue. The pain is not “we need more stickers.” It is that the business number lives on one handset, labels are not a pipeline, and when that person is on leave the firm’s memory is in a pocket.
WhatsApp Business App (the green phone app) is a client. A WhatsApp CRM on the Business API is a desk: shared inbox, assignment, the student / listing / appointment next to the thread, journeys that pause when a human takes over.
This is not a hatchet job on the app. For a solo shop with one number and no shifts, the app is often enough. The day you have two people, a night shift, or a record that is not a chat label, you have outgrown it.
What the Business App is good at
- One owner, one phone (or a small set of linked devices).
- Quick replies, labels, a catalogue, away messages.
- Staying inside Meta’s consumer-grade product. No BSP contract.
Those are real advantages. Do not migrate a one-person bakery to a CRM because a blog said “API.”

Where the app stops being a CRM
- The number is a device. Linked devices help; they do not give you an audit trail, agent-level assignment, or a person record with a batch, a VIN, or a visit slot.
- Labels are not pipelines. “Hot” is not “demo attended, fee pending, evening batch.”
- Broadcast lists are not journeys. They do not pause when a counsellor is on the thread. They do not respect a desk-level opt-out next to SMS.
- No DLT SMS, no email on the same person. India parents mute WhatsApp. The 7 am reminder has to be DLT SMS without a second spreadsheet.
- Leave / attrition. When the phone walks out, so does the history you never exported.
WhatsApp’s own split is Business App vs Business Platform (API). The API still needs a BSP (AiSensy, Gupshup, Twilio, …) *and* software that is the desk. AiSensy vs conversation OS and Gupshup vs CRM are the pipe vs desk articles. Wati and Interakt sit in the API-inbox band: Wati · Interakt.
Shared inbox is the first honest upgrade
A WhatsApp CRM is not “the app in a browser.” It is:
- The WABA on a BSP you already pay for (bring-your-own).
- A shared queue with assignment and takeover.
- The person with industry records — coaching batches, clinic appointments, listings — not only tags.
- Four channels when the parent is not in the 24-hour window: WhatsApp, SMS, RCS, email.
VartaDesk is that desk. It does not try to replace the Business App for a solo trader. It replaces the moment the number became a team sport.

Migration without losing the number
You keep the same business number. The API connection moves to a BSP; the app can remain as a companion in some setups, but the system of record should be the desk, or you will double-reply.
First week:
- Pick one WABA. Do not add a second “owner only” number.
- Import open conversations / people, not five years of media.
- Train: assignment is a CRM action, not a shout.
- Templates: the five you already send from the app, now approved on the API.
- Opt-out still gates every send.
Industry starting points: coaching institutes, real estate, clinics.
