A trial messages at 8:05 pm: “Is there a spot in 6:30 am tomorrow?” The class list is a sheet. The membership expiry is in the access-control box. The WhatsApp is a trainer’s personal phone. The objects that must exist

If your CRM only has “leads,” the 6:30 am class will be oversold in a group chat.

  • Membership — plan band, start, expiry or freeze, status (trial, active, expired).
  • Class booking — slot, instructor, outcome (booked, waitlist, attended, no-show).
  • Member fields — goal band, preferred time — not a diagnosis.

Trials and renewals are where money dies

The expensive failure is not a missing “welcome bot.” It is a completed trial with no second class, or an expiry that only the gate knew about.

A workable sequence:

  1. Trial booked → confirm on the same thread.
  2. Morning-of class reminder. SMS if WhatsApp is muted (DLT in India).
  3. After the trial, a human asks for the membership. Journeys pause on takeover — do not pitch over a trainer on the floor.
  4. T-7 / T-3 expiry: one template, then a person. STOP is a stop.

Classfull and waitlist

If WhatsApp says “see you at 6:30” and the roster is already full, you just leaked trust. The booking status on the person has to match the message. Waitlist is a record, not a rumour in the trainers’ group.

First 10 days on the floor

  • Connect one WABA for the desk. Keep the owners’ family group off it.
  • Install the fitness pack. Import *active* members and *this week’s* classes, not five years of footfall.
  • Templates: trial confirm, class reminder, thanks-for-visiting, renewal window.
  • One journey: trial no-show → assign front desk; expiry T-7 → assign memberships.
  • No medical fields. If a trainer pastes an injury into chat, that is a policy problem, not a feature.
